What if the real secret to productivity wasn’t waking up earlier, hustling harder, or checking off every item on your to-do list?


I recently sat down with transformational trainer and emotional intelligence expert Sheetal Sujan to explore a softer approach to getting things done. We talked about stillness, self-awareness, and yes, mindful productivity tools that can help us do less, better.

Sheetal works at the intersection of leadership, communication, and personal development. And as a mom, business owner, and coach, she brings a grounded, real-life perspective to the conversation around productivity, one that’s especially meaningful for women in leadership.


This wasn’t your typical productivity chat, and I’m so glad it wasn’t.


Mindful productivity tools begin with being present


One of the first things Sheetal shared made me pause.

“I always tell people, focus on now,” she said. “A lot of times people are in the future or they're in the past... and they're not looking for something new.”

For her, the productivity shift came after becoming a mother. Like many of us, she thought she was productive, until life changed. With a newborn, a business, and very little sleep, she realized she couldn’t rely on old systems that no longer fit.


That’s when she started designing tools around her current life. Not who she used to be. Not who she hoped to become.


That mindset alone is a mindful productivity tool: designing your day around your reality, not your aspirations.


Rethinking productivity for women in leadership

Let’s talk about the elephant in the productivity room. So many tools and systems were built by and for people with uninterrupted time and zero caregiving responsibilities. Spoiler alert: that’s not most of us.

“As women, we are expected to do it all,” Sheetal said. “Nobody tells us our energy, our hormones, our roles—those things affect how we show up.”

She believes self-care more than a wellness trend, it’s essential for performance.

“When people are busier, they forget to work out. They forget to eat healthy. They forget to sleep. But that’s when you need it the most,” she reminded us. “Stillness in the chaos is what charges your battery.”

That stillness becomes one of your most powerful tools, especially when everything else feels chaotic.


Starting small with mindful productivity tools

So how do you begin using mindful productivity tools without creating another to-do list?


You start small. Really small.


“Start with one to two things, max,” Sheetal advised. “Even my morning routine took months to build. I didn’t start with five things—I started with waking up at 5:00 AM. That’s it.”

Here’s a beginner’s blueprint she shared:

  • Pick one habit that feels doable (like drinking water or stretching for 2 minutes)

  • Set a reminder if needed (your phone works just fine!)

  • Practice it consistently for 3 weeks

  • Once it becomes automatic, stack on another habit


Trying to overhaul everything at once? That’s a fast track to burnout. Instead, think of each new habit as a brick in your foundation. You’re building something sustainable.


When life interrupts your routines

Of course, routines get interrupted. Kids get sick. You get injured. Deadlines pop up. Life happens.

I asked Sheetal what she leans on when her routines fall apart. Her answer?

“It’s temporary. I’ve built a system I know I can go back to.”

That right there is the gift of mindful productivity tools. They don’t rely on perfection. They’re flexible, personal, and built on trust in yourself.


She also shared how important it is to reach out for help—whether from a partner, friend, parent, or coworker.


“We can’t do this alone,” she said. “If you have someone who can help you, ask. Women don’t like to ask for help, but we need it.”

Productivity doesn’t have to come in the form of a new app or $250 template (even if we’ve all been tempted).

Here are Sheetal’s favorite no-cost tools:

  • Stillness: Take breathers between tasks. Even 2 minutes of quiet can reset your nervous system.

  • Sleep: Prioritize it. Guard it. Everything’s harder without it.

  • Support systems: Ask for help. Often.

  • Self-trust: “Trusting yourself is huge in productivity,” Sheetal shared. “I can look at a crazy list and say, ‘I got this.’ I don’t know how—but I’ll make it happen.”


That last one might be the most underrated productivity tool of them all.


How Sheetal uses AI as a mindful productivity tool


I had to ask about tech, especially AI, and how it plays into Sheetal’s work.

She doesn’t chase every shiny new tool. Instead, she uses ChatGPT intentionally.

“It’s not about getting perfect answers,” she explained. “It’s about getting things out of my head. That makes me feel lighter—and that helps me get more done.”

Using AI as a thought partner, a brainstorm buddy, or even a stress dump? That’s a mindful way to use tech, and I love it.


A final mindset shift for sustainable productivity


Before we wrapped up, I asked Sheetal what belief she sees holding people back from using the tools she teaches.


Her answer? Trying to do too much too fast.


“They do too much in the beginning, get excited after a workshop, and then within three weeks… they stop. Why? Because they’re doing too much,” she said.


Her fix? Focus on one thing at a time. Notice how it makes you feel. Then let the motivation come from there.


Whether that one thing is sleeping more, using AI as a journaling tool, or taking 2-minute breaks between meetings, it all counts.


The real takeaway? Productivity is personal. And you can’t separate it from your energy, your body, your boundaries, or your belief in yourself.


That’s why these mindful productivity tools aren’t just helpful. They’re necessary.

And way more sustainable than hustle.
